Choosing a trade fair venue or the fairground is one of the most important decisions made by the trade fair organizers before organizing an event. The importance of the trade venues can be gauged from the fact that the famous destinations for organizing the trade fairs are almost always busy or booked in advance. The quality of a fairground plays a pivotal role in the success or failure of a trade fair. Especially, for high profiled international events where the pride of the industry as well as the country is at stake, a trade venue should be chosen with extreme caution. Distance from airports/shipping docks/railway stations-Before a trade fair, the exhibitors bring in their goods and instruments to the venue. The goods could be large and cumbersome and hence difficult to transport over large distances. To avoid this problem of transportation, it is desirable that a trade fair venue should be closer to the airports stations.
Transportation availability-The availability of local transport around the trade venue is an essential requirement. Without appropriate transport, the exhibitors and visitors will suffer considerably in reaching the trade fair venue. This could result in a negative feedback towards organizers and trade associations.
Distance from hotels-Normally, trade fairs last for more than one day. Some attendees prefer to stay close to the trade fair venue for easy commute over the period of their stay. Hence, checking out the availability of hotels and lodges in the vicinity of the venue is quite important.
Availability of labor in the surrounding area-Before and during a trade event, a lot of labor is required to carry out large amount of tasks over a short duration of time. Therefore, it is imperative that availability of quality and cheap labor in the region close to the fair venue should be checked.
Infrastructural capabilities-A trade fair venue should have appropriate infrastructural capabilities. It should have ample indoor and outdoor space along with meeting rooms. The structure of exhibition halls should be well designed and there should be soundproofing in the conference halls.
Facilities-General facilities are very important for a trade fair. Any lack of water supply or electrical problems can badly impact the performance of a trade fair. Other facilities like catering, internet connectivity, projectors etc. should never be overlooked for high profiled events. An organizer should check availability of all the basic amenities before selecting a trade fair venue
