2. VENUE CITY – NEW DELHI/NCR

Period during October - November is the Best Time to visit Delhi. During October-November, the atmosphere is little bit cool with sunny weather in mid day, when the nights are cool and the days filled with bright sunshine. This is the time when you can enjoy the best in Delhi.

3. RECEPTION & ACCOMMODATION

Exhibitions India Pvt. Ltd., the Professional Conference Organizer, engaged by the Government of India to manage the DIREC 2010, will be operating Help Desks at the International & Domestic Airports at New Delhi to assist delegates of DIREC 2010 by providing transfers from airports to hotels in cars/coaches on complimentary basis.

4. REGISTRATION

Delegate Badge & Kit
Your Registration ID No. and the confirmation letter/e-mail are required to be produced at the Registration counter for collection of delegate badge and kit. Foreign delegates must carry their Passports. For security reasons, please keep the delegate badge with you always for access to the Conference and Exhibition venues and all social events.

5. INAUGURAL PLENARY SESSION

Date: Tuesday, 26th October 2010
Time: 1630 Hrs - 1800 Hrs
Venue: Main Plenary Hall, Vigyan Bhawan, New Delhi

The Registration for the Inaugural Ceremony at the Vigyan Bhawan will start operation from 25th October from 1100 Hrs to 1600 Hrs at Vigyan Bhawan Annexe. Admission to the venue shall be only for delegates having prior registration and other invitees. No registration or admission shall be allowed after 1600 Hrs. due to security reasons.

To avoid last minute rush, registration facility is also being made available from 20th October 2010 onwards at Conference Secretariat: B-217 (2nd Floor), Okhla Industrial Estate, Phase-III, New Delhi-110020, Tele: +91 11 4279 5000, Fax: + 91 11 4279 5098/99.

It is strongly recommended that the delegates to complete registration formalities on or before 25th October 2010. Delegates seeking on-the-spot registrations can also approach the Registration counter at Vigyan Bhawan Annexe or Conference Secretariat during the dates mentioned.

From 25th Onwards, distribution of delegate badges and kits for pre-registered delegates as well as on-the-spot registration will be done only from the Registration counter at Vigyan Bhawan Annexe.

Soon after Inaugural Session, the registered delegates and other invitees would join at Hotel Ashok, New Delhi for Opening reception filled with Indian Cultural show followed with dinner.

6. OPENING RECEPTION & DINNER

Date: Tuesday, 26th October 2010
Time: 1900 Hrs – 2200 Hrs
Venue: Hotel Ashok
Cultural Programme & Dinner: Classical Dance Performance by eminent Indian artists followed by Cocktails and Dinner.

For the delegates, not able to attend the Inaugural Plenary and Opening Reception on 26th October 2010, arrangements for registration, delegate badges and kits are also made from 27th October 2010 onwards at the venue for the Business Conference and Exhibition:

Knowledge Park –II, Noida - Greater Noida Expressway, Greater Noida (National Capital Region of Delhi).

Arrangements are being put in place to make available delegate badges and kits for pre-registered delegates of select organisation in their Delhi office premises and for other delegates at select hotels on production of Registration ID, the details of which shall be advised later through the website/e-mail.

7. SHUTTLE BUS SERVICE

Arrangements are being made for complimentary shuttle bus service from convenient points connecting major hotels to Vigyan Bhawan to Hotel Ashok and back from Ashok Hotel to convenient points connecting major hotels on 26th October 2010 for the convenience of the delegates. Similar arrangements will be in place in the mornings, afternoons and evenings during 27th to 29th October 2010 from/to convenient points connecting major hotels to/from India Expo Mart Ltd., Greater Noida for the convenience of the delegates. Similarly few buses will also operate to and from the Social Evening/ Dinner Venues to the convenient points connecting the hotels.

Details of the shuttle bus service will be available in the literature provided in the delegate kit. Please note that there will not be a free CAR/TAXI service to and from the airport.

8. CONFERENCE AND EXHIBITION

8.1 Venue

The Ministerial Meetings, Business Conference, Side Events, Parallel Sessions, Presentations. Panel discussions, Interactive sessions and Youth summit will take place at: India Exposition Mart Ltd., Knowledge Park –II, Noida - Greater Noida Expressway, Greater Noida (National Capital Region of Delhi). 8.2 Programme

All sessions are open to delegates except special Ministerial sessions, Evening Talks and CEOs Conclave, for which participation shall be by invitation only.

Abstracts of the Technical Sessions in printed form and a compilation of the conference proceedings/papers on a CD-ROM will be made available in the delegate kit.

8.3 Official Language
English is the official language of the Conference.

8.4 Lunch and Tea/Coffee
Complimentary lunch will be served at the Food Court co-located at the venue of the Conference. Due to security reasons, entry will be strictly by delegate ID badges only. Complementary Tea/Coffee will be served during the breaks.

9. EXHIBITION

9.1 Venue & Timings

Venue: India Expo Centre & Mart, Greater Noida (NCR) [Spread in an area of about 35,000 sq. meters with state-of-the-art built in facilities such as CCTV, Fire Sprinklers & hydrant systems, 08 MW Power Back up, Business centre, Café/ Banquet Hall, Fine Dinning, Business Lunge, logistics centre and huge secured parking area for 8,000 Cars and 200 Trucks/Buses].

9.2 Restaurants/Cafeterias
A leading restaurant chain in New Delhi will be operating restaurants/cafeterias offering lunch/ tea/ coffee/ beverages/ refreshments at the Venue itself for participants/visitors on payment basis.

10. TOURS & SPOUSE PROGRAMMES

Attractive packages of pre and post-event tours are being planned to places of historical interest in and around Delhi. There will be guided sight seeing tours and several other programmes on cultural and historic themes for accompanying spouses registered with the event.

While programmes within Capital Region of Delhi will be available with the compliments of DIREC 2010, visits to places outside New Delhi/NCR will be on chargeable basis.

11. FACILITIES

Airport Reception and Transfers
Facilitation desks are being set up at International/ Domestic Airports at New Delhi to receive and greet the delegates. These desks will handover DIREC 2010 information kit including travel guide and event programme and escort the delegates to the waiting Luxury Coach for transfer to Hotel/India Expo Centre.

Help & Travel Desks
Help Desks and Travel Desks are being put up at Expo Centre & Mart, Greater Noida (National Capital Region of Delhi) and Delhi International and Domestic Airports to render all possible assistance to the delegates, while departing Delhi.

Money Exchange
Participants can exchange their currency at the Money Exchange Counter to be set up at Expo Centre & Mart, Greater Noida (National Capital Region of Delhi).

Presentation Equipment
Facilities such as slide projector, overhead projector and multi-media presentation equipment will be available for speakers.

Medical Assistance
The following medical services will be available at Expo Centre & Mart, Greater Noida (National Capital Region of Delhi) to handle any medical emergency.

  • Standby medical teams consisting of Qualified doctors and nurses,
  • Hospital bed, wheel chair, first aid box, oxygen, ECG facility, etc; and
  • Ambulance equipped with oxygen, stretcher, first aid box

Fire fighting
The Venue is fully equipped with water sprinklers and hydrant system. However, additional adequate equipment and manpower will be deployed to meet any eventuality.

Comprehensive Security
The India Expo Centre is guarded by private security personnel on 24x7 basis and the premises are equipped with CCTV cameras, etc. In addition to adequate deployment of Government Security Forces around the venue, it is planned to further beef up the security by adopting a 5-level security system to properly secure the venue. A specialized Disaster & Evacuation Management Agency would be engaged to take responsibility of effective evacuation of the premises in the eventuality of a disaster.

Work Station/Business Centre
Business Centre fully equipped with Computers, Laser Printers (Color & B/W), Photocopiers, Fax Machines, Scanners, Internet (WiFi facility) Telephones with ISD/STD facilities will be available at the Venue of the Conference.

Voltage
The line voltage for electricity is 220 Volt AC, 50 Hz. Most hotels provide 110 Volt AC socket for electric appliances.

Insurance
Delegates are advised to make their own arrangements for personal/ medical insurance cover during the currency of the event. No such cover would be available from the organizers of the Event to the attendees of the Conference/ Exhibition or Social evening(s).

12. ACCOMMODATION

Accommodation for around 10,000 delegates, as per details given below with traveling time from each location, is available at Hotels/Service apartments in New Delhi and National Capital Region – in Noida and Greater Noida):

Traveling time to India Expo Centre by coach/car: approximately 1 hour 15 minutes

3 and 4 star: 960 rooms

Traveling time to India Expo Centre by coach/car: approximately 1 hour 30 minutes
5 star : 2,160 rooms
3 and 4 star: 3,000 rooms
Guest Houses: 1,000 rooms

Prospective delegate wishing to book accommodation may submit their request online. Acknowledgement, processing and confirmation of request will be issued within 2-working days of the request. URL Links of the major hotels / service apartments are also available on “Hospitality” link; Delegates wishing to have direct bookings from the Hotels may get the same by clicking on the respective links.

14. OTHER INSTRUCTIONS

The registration is subject to realisation of the payment against delegate fee. If your payment is made by cheque, then the registration is subject to realisation of the cheque submitted to us. In case of dishonour of the cheque, the registration automatically stands cancelled.

Cancellations/refunds/substitutions shall be as follows:
Delegate Registration Fee:

On or before 15th August 2010 - 30% deduction of delegate fee
The delegate fee cannot be refunded after this date.
Substitutions are welcome at any time till 10th October 2010

The general Hotel / Accommodation Cancellation policy is as under:

  • 30 days prior to arrival: 1 night retention
  • 15 days prior to arrival: 3 nights retention
  • 07 days prior to arrival: 100% retention

For accompanying Spouses
Social Evenings (Welcome Dinner, Cultural Programmes, Cocktails and Dinners); Free access to the exhibition; Shuttle bus from/to official hotels to/from Expo Centre & Mart, Greater Noida; and Spouses Programme-Visit to places of tourist interest in New Delhi/NCR only.

Registration Fees does not include:

  • Accommodation
  • Technical and special leisure tours
  • Pre & post-conference tours
  • Transfers from airports to hotels and hotels to airports; and
  • Insurance, etc.
