Friday, June 4th, 2010 beginning at 4:00 pm within the stand area until 10:00 pm. Must be completed by June 8th, 2010, 4:00 pm.

The upper floor of a two-story stand will be charged at 50% of the rent for the accessible groundfloor surface. The twostorey stands will only be permitted in agreement with the Fair Management and the Department of Building of the City of Essen. Due to different clearence heights it is not possible in every hall. Minimum stand size: 9 sq.m. Full-Service-Package The Full-Service-Package includes the floor space and a full equiped shell scheme stand. The shell scheme stand is equipped as attached order forms. The rentals are: Spring, 9 sq.m. Summer, 12 sq.m. aisle stand 1.791.00 € 2.448.00 € corner stand 1.827.00 € 2.496.00 € Co-exhibitor The exhibitor is not authorized, without the permission of the organizer, to sublease the rented stand wholly or partially to third parties or otherwise transfer usage, or exchange it. The exhibitor must apply to the organizer for any joint exhibitor on the basis of the General Terms of Business of the Organizer, in writing. In such a case the exhibitor is to pay a fee of 451.00 € for each co-exhibitor. All companies that, in addition to the main exhibitor, also use the stand are co-exhibitors. They are still considered joint exhibitors even if they entertain very close economic or organizational ties with the main exhibitor. The co-exhibitor and main exhibitor are jointly liable to the organizer. The fee may also be charged by Messe Essen GmbH later. BRV company members Special agreements shall apply to BRV company members that have been members before January, 2010. All prices do not include VAT. The AUMA-Fee per sq.m. is fixed at 0.60 € net.

10 Terms of payment
All invoices submitted by the fair management are payable without reduction, 50% on receipt of the invoice, 50% on April 15th, 2010 at the latest. Invoices later submitted are payable immediately on receipt without reduction. Bills for miscellaneous services or for supplies ordered separately are due at the time the services were rendered or the supplies provided, by the date of invoice at the latest.

11 Cancellation and non-participation
Any application for cancellation of the contract must be made in writing. (See also point 6 of the General Terms for Participation)

12 Exhibitors’ passes
The exhibitor company is entitled of free passes as following: up to 20 sq.m. floor space 3 passes for each addtitional 20 sq.m. or part of that 1 pass up to a maximum of 50 passes. Additional passes can be obtained from the Fair management at a cost of 26.00 € including VAT. The free pass entitlement is not increased in the case of stands rented by co-exhibitors. These passes will be printed with the exhibitor’s name and are solely for the use of the exhibitor, his stand staff and other persons acting on his behalf. The passes are not transferable and will be withdrawn, without refund, if permitted to fall into unauthorised hands.

13 Exhibits and sales regulations
Goods not mentioned in the list of exhibits shall not be exhibited. The fair management shall be entitled to remove nonapproved exhibits at the cost of the exhibitor. Direct selling is not allowed.No exhibitor shall be permitted to accept orders for products that are not listed on the application. No exhibits shall be removed before the end of the event. (also point 11 of the General Terms of Participation)

14 Presentations/Promotions/ Events on trade fair stands
Permission must be granted in advance by the trade fair organizer for use of acoustic advertising media, microphones, amplifiers and music (live or from soundtrack). At the same time, the organizer shall reserve the right to attach certain reasonable conditions to the authorization if necessary (times, volume etc.). Authorizations which have already been issued can be limited or revoked in the interest of the continued smooth running of trade fair or exhibition. In the case of violation, the exhibitor shall be obliged to indemnify the organizer against any possible claims for damages lodged by other exhibitors due to disturbances caused by the contravention. Please see point 9.0 Advertising of the attached “General Participation Guidelines” and point 5.9 Presenting and Advertising from the “Technical Guidelines” in the exhibitors service brochure.

15 Promotion teams
The deployment of promotion teams outside of the assigned stand necessitates the acquisition of a written permission from the organizer. Exhibitors using promotion teams without the written permission of the organizer owe to the organizer for every case of infringement a contractual penalty in the amount of 5,200.00 €. Raffles, competitions, quiz events, prize games and similar events can only be carried out with explicit permission of the organizer and are subject to the aforesaid penalty during offence.

16 Virtual fair participation
At REIFEN 2010 the organizer offers the possibility to enhance your internet presence. In advance the exhibitors can provide more information about the exhibiting company, allow visitors to contact them and attract more attention. The runtime will be two years from December 2009 to December 2011. The costs for this comfort-package is fixed at 75.00 €.

17 Stand boundary walls/Stand design
The exhibitor is responsible for equipping and designing their stands themselves. The exhibitor has the possibility of ordering system walls as stand boundary walls from MESSE ESSEN GmbH for a fee. This is an aluminium system with white wall fillings. The height of the system walls is 2.5 m. Each metre of wall is provided at a rental price of 33.00 €. If pre-fabricated/system stand with panelling are to be implemented, then a front panel (30 cm) is required on all open sides of the stand. The standard height is 2.5 meters. Stands which are higher than 2.5 meters require the permission of the organizer. The organizer reserves all rights to change the stipulations regarding the design of stands. Stand walls, floors, the walls of the halls, columns, installations (water, electrical, etc.) and fire protection installations may not have things stuck or nailed to them or be painted or damaged in any other way. Any damages occuring are to be borne by the exhibitor and will be charged to the exhibitor. Any installations (water, electrical, etc.) and fire protection installations and columns located within the allocated stand area are to be left accessible at all times. Floor coverings must be fixed to the floor with the aid of double-sided tape. The organization and the construction of the stand must be done in such a way that no neighbouring company is obstructed by exhibits, advertising spaces or objects on display.

18 Combating product piracy
The exhibitor makes a binding and irrevocable declaration that the products exhibited by him were created by himself or that the products are admissible copies or reproductions of other suppliers or other third parties. Furthermore, the exhibitor undertakes to respect the preferential industrial property rights of third parties. If the exhibitor is informed of such an infringement of property rights in a proper manner during participation at the event, the exhibitor undertakes in advance to remove products affected by this from his stand. The exhibitor takes explicit note that, in the event of an infringement of this obligation, Messe Essen GmbH is entitled to exclude the exhibitor from further participation at the ongoing or future events if the relevant conditions in accordance with the Special Conditions of Participation of the event are fulfilled.

19 Shell scheme stand
The shell scheme stands offered by Messe Essen GmbH can only be hired by an exhibitor. The use of nails etc. and also paint or labels etc. is not allowed. The cost of any damage caused will be charged to the exhibitor. The shell scheme stand may only be extended or taken down by Messe Essen GmbH or its partner.

20 Catalogue
The organizer will publish a fair catalogue. A. Sutter Verlagsgesellschaft mbH is the publishing house which has been authorized by Messe Essen. At a later date, the exhibitors will be given full details on registration and advertisements.

21 Removal of refuse
The responsible party is under a legal obligation to ensure correct removal or to commission the organizer with the disposal (a fee will be charged). Regulations, order forms and prices will be issued in due time.

22 General exhibiting guidelines for trade fairs and exhibitions of IDFA members
The general participations regulations are the contractual foundation for trade fairs and exhibitions organized by the MESSE ESSEN GMBH. The German text is legally binding.

23 Exhibitor claims, written form, location, legal venue
All claims by exhibitors against the organizer must be made within six months. Claims made thereafter will not be valid. The period of limitation starts at the end of the exhibition. Agreements which differ from these conditions or supplementary stipulations thereof, must be made in writing. Location and legal venue is Essen. Only German law and the German text legally binding. The organizer however reserves the right to assert his claims at the court of the location where the exhibitor is registered.
